The Key to Event Success Is the “Atmosphere”
From venue sourcing and facility checks to documents for stakeholders, we handle the complex steps from the first day we meet until event day. Many clients tell us they felt a clear path forward after our very first alignment meeting.
We support those who want to focus on their core work and arrive at event day with peace of mind.
Efficiency matters—but so does meaning.
Behind every event are the organizer’s intentions and values—your story. For a branding-strong event, story is essential. With deep experience, ANDSTORY listens for the essence and helps create an atmosphere that audiences resonate with and rally behind.
Planning a corporate event in Japan often comes with unique considerations
— from venue availability to cultural expectations and on-site coordination.
At ANDSTORY, we handle these complexities for you, so you can focus on your goals.
Here are answers to some of the most common questions from our international clients.
Q.How do corporate events work in Japan?
Corporate events in Japan are often highly structured and detail-oriented. We begin by clarifying your objectives and audience, then coordinate every function — from venue sourcing and AV setup to guest hospitality — so that each element contributes to your goals. With over 2,000 events managed, ANDSTORY helps you navigate cultural expectations and ensures your event feels seamless and well-prepared.
Q. What does on-site operations include on event day?
On the day of the event, our team oversees the entire run of show. This includes coordinating all functions — AV, stage direction, guest flow, catering, and hospitality — and communicating directly with vendors and venue staff. We act as your on-site control center, so you can focus on interacting with guests and stakeholders while we handle timing, cues, and troubleshooting.
Q. How do we align AV, stage, and hospitality functions?
We create a detailed run of show and cue sheets to ensure every function is perfectly synchronized. AV, stage production, catering, and guest services teams are aligned through regular coordination meetings and final rehearsals. Our bilingual team bridges gaps between Japanese and international vendors to make sure nothing is lost in translation and everyone is on the same page.
Q. When should we secure a venue in Nagoya/Aichi?
We recommend securing your venue at least 4–6 months in advance for corporate events, especially if you're expecting international attendees or planning hybrid setups. Popular venues in Nagoya and Aichi can book up quickly, so early alignment on purpose, guest count, and requirements helps ensure the best options are available.
Q. How much lead time do we need?
We typically support events over about 6–2 months, but depending on scope we have executed with only a few weeks of preparation. Share your dates and objectives and we’ll advise on a feasible plan.
Q. How should we approach budgeting without specific numbers?
Instead of starting with a fixed budget, you can begin by clarifying the purpose and goals of your event — who you want to reach, what outcomes you expect, and what kind of experience you want to create.
From there, we work together to design the event scope at the right level — venue, AV, staging, hospitality, and program — so that every part of the event directly supports those goals.
This way, we avoid unnecessary spending while still maintaining high quality.
Q.Can we bring our own vendors?
Yes. We prioritize smooth alignment/coordination with your preferred venue, AV, creative, and hospitality partners. We also have a trusted network we can introduce as needed.
Q. Any tips for hybrid setups?
We coordinate AV, sound, and video production so content is captured and distributed cleanly. If you plan live streaming or platform-specific delivery with your internal/partner vendors, we align showcalling and cues to ensure a seamless run.
Q. Do you handle post-event follow-up?
Yes. We can support surveys, reporting, and PR on social media in the post-event phase so the impact continues after the day.
